Administrator (Building / FM)

Candour Talent are proud to be representing a well-established business within the facilities management sector. We are currently seeking a proactive and highly organised Administrator to support their busy Facilities Management division.

In this role, you'll play a vital part in ensuring the smooth coordination and delivery of reactive and planned works, managing multiple schedules, materials, tools, access, and communication streams. If you're a detail-driven team player with strong administrative and scheduling skills, this could be the perfect next step in your career.


Key Responsibilities

  • Schedule Works Orders: Use Epix to plan and align all associated tasks (materials, tool hire, access, scope of works) ensuring full readiness for site technicians.

  • Support Sales Forecasting: Assist the sales team with a rolling 3-month sales forecast, sales pipeline planning, and preparation of timely and accurate quotations.

  • Admin Task Delivery: Maintain compliance with SLAs by ensuring all documentation is well-organised, clear, and up to date.

  • Monitor KPIs: Track key performance indicators daily to support team performance, identify improvement areas, and ensure service excellence.

  • Supplier Coordination: Liaise with suppliers to obtain specifications, quotations, and documentation for works, providing updates and timelines to stakeholders.

  • Progress Communication: Regularly update internal and external stakeholders on job status, timelines, and any delays to maintain strong relationships.

  • Customer Sign-Off & Invoicing: Coordinate PODs, create and upload invoices via customer-specific platforms (e.g., Varisae, Isupplier), and process all data accurately through Sage 200 and internal systems.

  • Customer Liaison: Deliver clear, effective communication with customers to maintain trust and satisfaction.


Functional Knowledge & Skills

  • Experience with Purchasing, Scheduling and Sage 200

  • Strong communication, organisational, and decision-making abilities

  • Effective at multitasking and problem-solving

  • Confident using Microsoft Office suite

  • GCSEs in Maths and English (Grade A-C preferred)

Additional Information

  • Reports to: Contracts Manager

  • Deputises for: Contracts Manager (as required)
